Privacy Policy

This policy applies to the Zenward Mobility public website. It does not cover any separate Zenward operations system, or communications you have with our team by phone or email after you contact us.

Transportation requests. When you use the Request Transportation form, we collect what you enter: the type of transportation, your name, your relationship to the passenger, your phone number, an optional email, the passenger’s name, pickup and destination details, the preferred date and time or recurring schedule, whether a return trip is needed, the pickup & assistance level, and any mobility, assistance or additional notes you choose to add. When you submit, this information is sent directly from our web server to the scheduling and operations service provider Zenward uses to review transportation requests. It is not sent by email from your browser. We use it only to review the request and follow up with you about transportation. The form keeps what you type only on the open page until you submit; it is not saved in your browser.

Contact enquiries. When you use the Talk to Our Team form, we collect your name, email, an optional phone number, an optional organization name, the reason for contacting us, and your message. The contact form is for general questions — please don’t include medical details there; use the Request Transportation form or call 678-935-5489 instead.

Transportation Assistant (Zenny). Zenny answers from fixed, pre-written information on this website. It does not use an external AI service. What you type to Zenny stays on the open page and is not sent to Zenward or anyone else; it is cleared when you leave or reload the page. If you choose to give Zenny a phone number, that number (and only the number) is sent from our web server through our contact-delivery service so our team can follow up about your enquiry. Your chat messages are not sent with it.

Planning checklists. The trip checklist in our Resources works only on the open page. What you tick is not saved or sent to Zenward, and it is not a transportation request.

To respond to you, to review and coordinate transportation you request, and to keep a record of our correspondence. We do not sell your information, and we do not use it for advertising.

Like most websites, our hosting provider automatically records standard request information such as your IP address, browser type, pages visited, and timestamps. This is used to operate the site securely and understand aggregate traffic.

This site does not currently set analytics, advertising, or cross-site tracking cookies, and does not load third-party analytics or advertising tags. In particular, it does not load Google Analytics, Google Tag Manager or Google Ads tags. Passenger names, contact details, addresses, appointment information, and assistance notes are never sent to analytics. If this changes, we will update this policy first.

We rely on a small number of providers to run the site: a website hosting provider; a scheduling and operations service provider, which receives the transportation requests submitted through this website so our team can review them and follow up with you; and, for contact enquiries and Transportation Assistant follow-up numbers, an email delivery service. Each provider only handles the information needed for its function, and is expected to protect it.

We take reasonable steps to protect the information submitted through this site and limit access to people who need it to respond to you. No website can promise perfect security.

We keep information submitted through this site for as long as needed to respond to you and to maintain reasonable business records, after which it is deleted or archived. Specific retention periods are being finalized.

You can ask us what information we hold about you from this website, ask us to correct it, or ask us to delete it, by contacting us. We’ll respond as required by applicable law.

We may update this policy as the service launches and develops. The “last updated” date above reflects the current version.
